Privacy policy
What we collect when you ask for a price, why we keep it and for how long. In plain English, because an unreadable policy protects nobody.

Who is responsible for your data
The data controller is Almar S.r.l.s., Sestiere San Marco 5296, 30124 Venezia (VE), Italy. VAT and tax code 04657560274, REA VE-437781. VCE Transfers is a trading name of this company.
For anything concerning your data, write to booking@vcetransfers.com or by certified email to almarsrls2021@pec.it. We answer in English or Italian.
What we collect, and only that
We collect two kinds of information, and nothing else.
What you tell us
When you send the request form: your first and last name, email address, telephone and WhatsApp number, country and preferred language, the details of the journey (pick-up and destination, dates and times, flight, ship or train details, number of passengers and children, luggage and ski bags), and anything you write in the notes field. You also tell us whether you accept this policy, and separately whether you want occasional offers.
Only name, email, telephone, pick-up, destination and date are required. Everything else you can leave blank, and we will ask if we need it.
What your browser sends
When the form is submitted we record the IP address it came from, the browser identification string, the page you were on, the site that referred you, and any campaign parameters in the address (utm_source, utm_medium, utm_campaign, utm_term and gclid). These tell us which advertisement or page brought you here and help us recognise automated abuse of the form.
While you are simply reading the site we record the page, on our own server, with no cookie and no third party: the identifier we use contains the date and changes every night, so it cannot follow you from one day to the next. There is no advertising pixel and no cross-site profiling.
Separately, we ask whether we may also use Google Analytics. Nothing about it loads until you say yes, and refusing changes nothing about how the site works. The details are in the cookie policy.
Why we are allowed to use it

How long we keep it
- Requests that do not become a booking: 24 months from the date you wrote, so we recognise you if you come back.
- Requests that become a booking: 10 years, which is the period Italian law requires for accounting records.
- Marketing consent: until you withdraw it. One click in any message we send is enough.
- Requests identified as automated spam: 6 months, then deleted.
- Our own page-view records: 14 months. They contain no name, no email and no IP address.
- Google Analytics, if you accepted: 14 months, the shortest retention Google allows.
Who else sees it
Your data is stored in a database on a server operated by IONOS SE in Germany, inside the European Union. IONOS acts as our data processor and does not use the data for its own purposes.
Beyond that, your details are seen by the driver assigned to your journey, so they know who to meet and where, and by our accountant for invoicing. We do not sell your data and we do not share it with advertising networks.
If, and only if, you accepted Google Analytics, page-view data also reaches Google Ireland Limited, which may process it in the United States under the EU-US Data Privacy Framework. We enable IP anonymisation, so the last part of your address is discarded before it is stored, and we do not turn on advertising features. Nothing you write in the request form is ever sent to Google. Refuse, or withdraw later, and this paragraph stops applying to you.
What you can ask us to do
Under Articles 15 to 22 of the GDPR you can ask us at any time to:
- tell you exactly what we hold about you, and give you a copy;
- correct anything that is wrong;
- delete it, where we are not required to keep it for tax purposes;
- restrict how we use it while a dispute is resolved;
- hand it to you, or to another provider, in a machine-readable file;
- object to our use of it on legitimate-interest grounds;
- withdraw a consent you gave, without affecting what we did before.
Write to booking@vcetransfers.com. We reply within 30 days. If you are not satisfied you can complain to the Italian supervisory authority, the Garante per la protezione dei dati personali, or to the authority of the country where you live.
Automated decisions
There are none. Every price we quote is checked by a person before it reaches you, and no decision about your booking is taken by software alone.
Children
The service is booked by adults. We ask for the ages of children travelling only so the driver fits the correct seat, and that information is deleted with the rest of the booking.
Changes to this policy
If we change what we collect, we change this page and the date at the top on the same day. We do not make changes retroactively: data collected under an earlier version keeps the protection it had when you gave it.
